How do I move a person between classes?

If you need to move a person between classes you can easily perform this action using the 'Move attendees to new class' timetable tool

 

Steps:

  • Navigate to Home > Timetable 
  • Click on the class or event you want to view the attendees for

Tip: You can use the filter tool ' ' at the top left of your screen to easily find the class you wish to move an attendee from. The search option can also be used to search specific class/event names and locations 

  • Once you have selected the class and can see the attendees, select the 'Manage' tab
  • Select the attendee(s) you wish to move to a different class and click on the 'Move attendees to new class button
  • The Move class step-by-step page will now appear. From here, you can select the new class, choose start dates and amend any required billing. There are five sections:

1. Current Class 

You’ll first be asked to confirm the existing session you are moving attendees from. Use the drop-down menu to find the class 
 

2. Destination class 

In this section, choose the class you are adding the person to. You can type to search or use the dropdown menu. 

Follow the steps to choose your schedule, day and time and the price. You can adjust any pricing in step 4, Payment settings.

Important: When choosing to add people to specific sessions, these attendees will not renew automatically into new schedules as part of the standard automated renewals workflows. 


3. Confirm attendees 

Choose the attendees you wish to add. 

You can also add people directly to a waiting list by ticking the checkbox in the Waiting list column. 

 

4. Payment settings 

You will be shown the pricing differences between the current class and the new class. 

If you are moving attendees mid-way through a billing period, you can choose to ‘Apply the new price to the current period’ within in the Billing settings box. This option in on by default. 

This will pro rata the new price until the remainder of the billing period, before scheduling the next invoice at the full, new price. 

Therefore, note the following: 

  • Pro rata pricing is based on each attendee's remaining days or sessions 
  • Full amount of £X will be charged for each attendee on their next invoice 

 

If you choose to switch this option, the attendee invoices will be generated at the full class price, regardless of when they are moving in the period.  

If you need to further adjust the invoice amount or scheduled date: 

  • Click Modify attendee billing 
  • On the next screen, select the invoice you wish to edit 
  • This will open the modification menu, allowing you to make changes 

 

5. Confirm 

The final step provides a summary of: 

  • The actions you have confirmed 
  • Planned invoicing 
  • Any issues identified (e.g., someone outside the age restrictions) 

If you want to immediately notify attendees that they have been added to the product, leave the Send notifications toggle switched on. Otherwise, switch it off.
