This article will cover the different ways to set capacity levels for your sessions and events, as well as how to adjust the capacity for specific dates in a schedule.
Adding a capacity to your products
In the Product Settings
To set a minimum/maximum capacity directly to your products, you can follow the steps below:
- Navigate to Settings > Products
- From the left-side menu, find the product you are applying a capacity to
- Expand the 'Capacity' tab
- Enter a minimum or maximum value, as required
Note: If you can't see the 'Capacity' tab when you click on the product, your system may be set up with the 'treat this group as a product' feature enabled.
In this case, the capacity will need to be applied at the product group level. To do this:
- Navigate to Settings > Products
- From the left-side menu, click the product group, which will appear in green, as below:
- Expand the 'Capacity' tab
- Enter a minimum or maximum value, as required
In the Schedule
You also have the option to directly apply a capacity to a schedule. This is useful when dealing with a product that has multiple schedules and varying capacities across different dates.
To do this:
- Navigate to Settings > Schedules
- Select the product from the left-side menu
- Click the schedule icon under the 'Action' column
- Enter the required value into the 'Max Capacity' field
- Click 'save'
Note: Applying a capacity directly in the schedule overrides any capacity applied in the product settings.
Adjusting capacity levels on a specific session
In some cases, you may want to change the capacity of a specific session, not the entire schedule.
To do this:
- Navigate to Timetable/Fixtures & Calendar
- Find the Session you need to edit
- Click on the Session
- On the window that opens up, click "Edit Session" from the top-right
- Adjust the capacity as needed
- Tick the checkbox next to 'save changes to session and update attendees'
- Click 'Save Changes'
