How do I manage the capacity levels of my sessions and events?

This article will cover the different ways to set capacity levels for your sessions and events, as well as how to adjust the capacity for specific dates in a schedule.

Adding a capacity to your products

 

In the Product Settings

To set a minimum/maximum capacity directly to your products, you can follow the steps below:

  1. Navigate to Settings > Products
  2. From the left-side menu, find the product you are applying a capacity to
  3. Expand the 'Capacity' tab 
  4. Enter a minimum or maximum value, as required

 

Note: If you can't see the 'Capacity' tab when you click on the product, your system may be set up with the  'treat this group as a product' feature enabled.

In this case, the capacity will need to be applied at the product group level. To do this: 

  1. Navigate to Settings > Products
  2. From the left-side menu, click the product group, which will appear in green, as below:

  3. Expand the 'Capacity' tab 
  4. Enter a minimum or maximum value, as required

 

 

In the Schedule

You also have the option to directly apply a capacity to a schedule. This is useful when dealing with a product that has multiple schedules and varying capacities across different dates.

To do this:

  1. Navigate to Settings > Schedules
  2. Select the product from the left-side menu
  3. Click the schedule icon under the 'Action' column
  4. Enter the required value into the 'Max Capacity' field 
  5. Click 'save'

 

 

 

Note: Applying a capacity directly in the schedule overrides any capacity applied in the product settings.

Adjusting capacity levels on a specific session

 

In some cases, you may want to change the capacity of a specific session, not the entire schedule. 

To do this:

  1. Navigate to Timetable/Fixtures & Calendar
  2. Find the Session you need to edit
  3. Click on the Session
  4. On the window that opens up, click "Edit Session" from the top-right
  5. Adjust the capacity as needed
  6. Tick the checkbox next to 'save changes to session and update attendees' 
  7. Click 'Save Changes'
